How HiveOps handles your information.

HiveOps ("HiveOps," "we," "us") is a Louisville, Kentucky company that provides done-for-you front-desk automation (The Hive, including the Queen voice and messaging persona) and advisory services (The Swarm). This policy explains what we collect on hiveops.ai and in the course of delivering those services, how we use it, and the choices you have.

What we collect

• Information you give us. Name, phone number, email, business name, and anything you type into a form, a booking widget, or the Leakage Score calculator. The calculator runs in your browser; its inputs are not sent to us unless you submit a form.
• Information from using the services. If your business runs The Hive, Queen handles calls and messages on your behalf. Those conversations — including call recordings, transcripts, and message logs — are processed to deliver the service and are stored in your business's own account on the platform we deploy on.
• Technical information. Standard web logs, device and browser type, pages viewed, and cookies used to keep the site working and to measure traffic.

How we use it

• To respond when you contact us, book a discovery call, or ask for pricing.
• To set up, run, monitor, and improve the services you buy from us.
• To send service messages about your account or deployment.
• To send marketing messages only where you have opted in, and never more often than we said we would.

Text messages (SMS)

If you submit your phone number on our site and check the consent box, you agree to receive text messages from HiveOps at that number. Message frequency varies. Message and data rates may apply. Reply STOP at any time to opt out and HELP for help. We do not sell, rent, or share your phone number or your SMS opt-in with third parties or affiliates for their marketing purposes. Consent to receive texts is not a condition of buying anything from us.

Who we share it with

We share information only with the providers we need to run the business and the services, under contracts that limit what they can do with it: the platform The Hive is deployed on (LeadConnector / HighLevel), telephony and messaging carriers, AI model providers that process conversation text to generate responses, payment processors, and email and scheduling tools. We share information when the law requires it, or to protect our rights, our customers, or the public. We do not sell personal information.

Your customers' data

When your business runs The Hive, you are the controller of your customers' information and we process it on your instructions to deliver the service. You are responsible for the notices and consents your customers need — including consent for the messages Queen sends on your behalf. For healthcare and other regulated operators, deployments are configured on the platform's HIPAA-compliant setup with a Business Associate Agreement in place before any protected health information is handled.

Retention and security

We keep information for as long as we need it to provide the services and meet our legal obligations, then delete or anonymize it. Conversation records for a deployed business follow that business's retention settings. We use industry-standard safeguards — encrypted transport, scoped access, and per-customer separation — and no method of storage is perfectly secure.

Your choices

• Opt out of texts by replying STOP; opt out of marketing email with the unsubscribe link in any message.
• Ask us what we hold about you, ask us to correct it, or ask us to delete it, by emailing [email protected]. We will respond within 30 days.
• Control cookies through your browser settings; the site still works with them off, though some features may not.

Children

Our services are for businesses. We do not knowingly collect information from anyone under 18.

Changes

If we change this policy in a way that matters, we will post the new version here with a new effective date, and notify active customers directly.
